Booking the Lake Norman Orchestra

The Lake Norman Orchestra is a not-for-profit community organization made up of volunteers from the greater piedmont region of North Carolina. While Lake Norman Orchestra is not a booking agency, our orchestra, jazz, brass, and woodwind ensembles are available for a variety of performances such as:

  • Community concerts
  • Church events
  • School events
  • Fundraising

Things to Consider Before Booking an Event

If you are booking the Lake Norman Orchestra, your venue will need:

  • Room to seat approximately 60 musicians (details available on request)
  • Chairs for the musicians (an additional rental fee may be required if unavailable)
  • Approximately 120 sq. ft. area for percussion (8' x 15')
  • Access to two, 15 amp. electrical outlets (must be on different circuits)
  • Parking for musicians
  • Access to the venue for unloading and loading equipment.
  • Storage for musician's instrument cases, etc.
  • Restroom facilities for changing, etc.
  • Outdoor concerts should provide a shaded or covered "stage"
  • An alternate venue for inclement weather (If the event is outdoors)
  • Additional information pertinent to your specific event or venue
If you are booking one of our ensembles, your venue will need to meet similar criteria as specified above. Obviously, ensembles require considerably less space, chairs and power but the other requirements are still applicable.

How to Book an Event

When you are ready to book an event, please email our Events Coordinator. Please be sure to include:

  • A contact name
  • Appropriate contact phone number(s)
  • Contact email address (if you are not the primary contact)
  • Musicians requested (full or partial orchestra, jazz, brass or wind ensemble)
  • Event date, time and duration requested
  • Any additional information pertinent to your event or venue

Terms and Conditions for Booking an Event

Once a booking request is received, the contact person will be notified of our availability. Since each venue or event presents unique opportunities and challenges, we will not be able to quote a final fee for our services until we have contacted the event coordinator for your organization and performed an on-site, venue logistics analysis. Once an event venue and compensation arrangement has been confirmed, the following will typically apply:

  • A contract to perform, signed by representatives of both parties,must be submitted
  • A 25%, non-refundable deposit is required 90 days prior to the event to hold your booking date
  • A 25%, payment will be due 30 days prior to your booking date
  • The final balance (50%) is due the day of the event or by some mutually agreed upon date
If an event is cancelled due to an "Act of God" or for circumstances beyond the client's control, the Lake Norman Orchestra will consider performing on a mutually agreeable alternate date. These rescheduled events are subject to an additional administrative fee of 5% plus any related expenses or penalties incurred due to late cancellation or rescheduling fees charged by third party providers. If rescheduling an event is not possible, the final balance payment will not be required. In addition, the second payment of 25% will be returned, minus any expenses or penalties incurred due to late cancellation. As previously stated, the initial payment of 25% is a non-refundable deposit.
